Facilities & Estates Controller

Location: Edinburgh

Salary: £25,000 - £35,000 DOE

Due to significant growth within the company we are looking to recruit a Facilities Coordinator to join our team based at Head Office in Edinburgh.

 

What does the job entail?

 

Facilities Management

·       Manages all SSC Offices - setting, defining, communicating and maintaining all office standards.

·       Liaises with the Legal Counsel to ensure all leases and associated contracts or agreements are maintained.

·       Coordinates with the finance team in relation to insurance provision and queries.

·       Works closely with the H&S Teams to facilitate fire and disaster recovery drills.

·       Sources and furnishes other company property as required, liaising with HR, Engineering and Operational departments as required.

·       Liaises with building contractors, security providers or utility provides as necessary.

·       Manages contracts with office service providers, such as cleaning, waste disposal, confidential waste etc.

·       Organising company events or conferences e.g. staff parties, team events etc.

·       Organising meetings and managing databases.

·       Manages Reception cover-pool and provides reception cover for the Office Coordinator when required.

·       Manage provision of car parking, keys and password codes across Head Office.

·       Ensures adequate first aid provision at Head Office sites.

 

Corporate Guidelines

·       Maintain, implement / communicate and audit against all corporate administration guidelines including e.g. Data Protection, Incident Management, telephone / email standards, document layout etc.

·       Liaising and advising the appropriate Heads of Department when changes are required for implementation across the topic areas.

·       Planning and undertaking work in the light of the immediate and medium/long term implications of changes.

·       Finds practical, business-focused, solutions to scenarios and ensures compliance.

·       Able to influence and engage across the business to implement.

 

Travel Account Administration

·       Review exception reports and communicate exceptions appropriately.

·       Provide commentary on company-wide travel KPIs.

·       Ensure travel agents charges are in line with contract.

·       Champion good booking behavior and work with line managers to identify impediments/ process improvements.

·       Attend account review meetings with Procurement team.

 

What are we looking for?

 

·       Flexibility to travel at short notice and holds a full UK driving licence.

·       Previous experience within a facilities management role.

·       Proficient in the use of Microsoft Office.

·       Good attention to detail, confident self-direction of work planning.

·       Ability to confidently communicate with colleagues and senior staff.

·       Must know how to listen, respond, and problem-solve with solid solutions.

·       Strong stakeholder management skills (external & internal).

·       Experience working in data protection issues.

·       Ability to support the requirement of working weekends throughout the year as and when required.
